Key terms explained

Experience vs Relieving vs Service certificate

An experience letter certifies the role, tenure and conduct after an employee leaves — useful for future employers. A relieving letter confirms the employee has been formally released as of the last working day and has completed exit formalities. A service certificate is a broader "to whomsoever it may concern" statement of employment. Many companies combine all three into one document.

Why an experience letter is needed

New employers ask for it to verify past employment, designation and duration during background checks. It is also used for visa applications, higher studies, loans and gap justification. Without it, prior work experience can be hard to prove, which may affect notice-period buy-outs, salary fitment and joining formalities.

Standard format & contents

A clean certificate carries the company letterhead, a "To Whomsoever It May Concern" heading, the employee's name and designation, the exact employment period, a line on conduct and character, an optional CTC line, a best-wishes closing, and the authorised signatory block with place and date. Keep it factual and on official stationery.

Pronouns & conduct wording

The letter reads more professionally when pronouns match the employee — this tool switches between he/his, she/her and they/their automatically. The conduct rating (Excellent, Good or Satisfactory) shapes the character sentence. For related HR paperwork, see our salary slip generator and income tax calculator.

Questions people ask

Short answers on Experience Letter Generator. Tap a question to open it.

01What is an experience letter?

A document issued by an employer confirming that a person worked with them, in what role, and for what period. It is also called a service certificate and is the standard proof of employment history for a new employer or a visa application.

02How is it different from a relieving letter?

A relieving letter confirms that the employee has been relieved of duties on a specific date and has completed exit formalities. An experience letter describes the tenure and role. Many employers issue both together on the last working day.

03Should an experience letter mention salary or performance?

Salary is usually left out and shown in the separate salary certificate. Performance remarks are optional — most employers keep the letter factual to avoid disputes, and issue a separate recommendation if they wish to praise.

04Can an employer refuse to issue an experience letter?

An employer can withhold it where the employee left without serving notice or has pending dues, but a blanket refusal for someone who has completed formalities is contestable. Most state Shops & Establishment Acts support the employee's right to a service certificate.

05What should the letter contain?

Company letterhead, employee name and designation, dates of joining and leaving, a brief statement of responsibilities, and the signature, name and designation of the authorised signatory with the company seal.
