Identity Documents (For All Applicants)
Regardless of your business type, every applicant needs these basic identity documents:
PAN Card: Mandatory for all Indian applicants. Ensure the name on PAN matches your Aadhaar exactly. For entities (company/LLP), the PAN of the entity is required in addition to individual PANs.
Aadhaar Card: Required for OTP-based verification on most government portals. Aadhaar must be linked with a valid mobile number for receiving OTPs.
Passport-Size Photograph: Recent colour photograph with white background. Some portals require JPEG format, others accept any clear image.
Address Proof (Any One): Bank statement (not older than 2 months), electricity bill, telephone bill, mobile bill, gas bill, or property tax receipt. The document must clearly show your name and current residential address.
Entity-Specific Documents
For Companies (Pvt Ltd, Public Ltd, OPC, Section 8): Certificate of Incorporation (COI), PAN of the company, MOA and AOA, Board Resolution authorizing the application, DSC of the authorized signatory, and latest audited financial statements (if applicable).
For LLP: LLP Incorporation Certificate, LLPIN, LLP Agreement (Form 3), PAN of the LLP, and DSC of the designated partner.
For Partnership Firm: Partnership Deed, Firm PAN, Certificate of Registration (if registered under the Partnership Act), and PAN/Aadhaar of all partners.
For Proprietorship: PAN Card of the proprietor, Aadhaar, GST Registration Certificate (if applicable), and Shop & Establishment Certificate or Udyam Registration.
Registered Office / Premises Documents
For Rented Premises: Rent Agreement or Lease Deed, NOC (No Objection Certificate) from the landlord, and Utility bill (electricity/water) of the premises not older than 2 months.
For Owned Premises: Sale Deed or Property Tax Receipt, and Utility bill not older than 2 months.
For Co-working Space: Rent agreement from the co-working provider, NOC from the co-working company, and Utility bill of the co-working space.
Special Documents (If Applicable)
Depending on the specific type of esi & pf registration, you may also need: previous registration or license certificates (for renewal or modification), product catalogues or test reports, manufacturing plant layout or photographs, technical qualifications or professional certificates, foreign collaboration agreements or FDI approvals, and any approvals from other regulatory bodies.
Common Document Mistakes to Avoid
Name Mismatch: Ensure your name is spelled identically across PAN, Aadhaar, and all other documents. Even minor differences like 'Kumar' vs 'Kumaar' can cause rejection.
Expired Address Proof: Documents older than 2 months are frequently rejected. Always download your latest bank statement before applying.
Blurry or Cropped Scans: Use a proper scanner app. Ensure all four corners of the document are visible and text is clearly readable.
Missing NOC: For registered office proof, the NOC from the landlord is almost always required and is the most commonly missing document.
Wrong DSC Class: For MCA filings, only Class 3 DSC works. Class 1 or 2 will not be accepted.
